I. Call to order.
Seven member teams, one guest team: Quicksilver, Western Express, R C Riders,
C C Riders, Class Action, Latigo n Lace, Desperados, Sundancers.
II. Secretary Report: Minutes of November 16, 2002 not
available as Jan Schuchman’s computer crashed. Diane’s notes distributed.
Motion to accept notes as distributed: Andy Jacobson – Latigo ‘n Lace, 2nd
Jan Schuchman – Western Express. Motion passed.
III. Treasurer Report (Darla absent) presented by Desperado
Team member (Barb): Balance on Hand: $5,732.99. Ten teams paid membership
for 2003. Motion to accept report by Karla Valentine - C C Riders,
2nd Pam Anderson – R C Riders. Motion passed.
Lynda Revak did not get paid for last year. Treasurer directed to pay her
$100. as soon as possible.
IV. OLD BUSINESS
A. Division proposal – Deanna Salisbury, R C Riders,
had questions. If averaging points from previous competitions, how about
a team that only entered one? Discussion followed. Secretary to collate
last year’s results and determine where teams would be placed. To be included
with minutes. Andy Jacobson (L n L) stated teams could petition to
be in a different division. Model to be emailed to each team
and put on line. We could put divisions on a trial basis for one year and
see response.
Motion: Jan Schuchman (WE) second Andy Jacobson (L n L). Based
on model derived from last year’s competition results, implement for 2003
on a trial basis.
Discussion followed. So do we really want divisions? Political
issue?
Motion failed. Roll call vote: two yes all others no.
Secretary to do model and send out for information only. Issue tabled until
another time.
B. Competition June 28 and 29, 2003
Judges, Rod Petersen, Marsha Williams, Jim Roper
Stall fees? Do not have yet. Charged for 3 days? Or just 2 nights.
Troy to contact OHC regarding charges. Contract says charged by the day
midnight to midnight. Need to determine for entry brochure $30 for
weekend (2 days/nights) or $40 (3 days/nights). Fees approved,
subject to what OHC says. How early on Friday? Some could come in
on Thursday. Troy to check with OHC representative.
OHC will only charge $125.00 for Friday night arena use.
Awards. On bid presented: 30 blanket @ $65 each = $1,950. +
logo $450. Darla found nylon hay bags for $8.99 to use instead of halters.
Last year paid $25 per blanket, total paid out for awards and gifts equaled
$1,425.00.
Troy appointed committee, Darla, Barb, Jan, Sherrie, Cheryl Slaydon as
chair, to come up with suggested awards and gifts and costs involved. It
was suggested to purchase sixteen overall high point awards for first and
second places. Ribbons do not have a year printed and can be re-ordered.
Award plaques for overall high point to each team.
Committee to make recommendation to executive committee who may be required
to make the decision because the next meeting may be too late.
C. Entry brochure: Sample distributed. There is
a question on closing date for entries. June 1 was suggested in order
to get the team pictures and information into the program. Please
email pictures and biography to Jcat145@aol.com . There were some
minor corrections then the brochure will be ready for distribution.
Motion by Deanna Salisbury ( RCR) Raise the three day stall fee to $45.

Any facility general rules? Troy to check.
D. Wash rack – one hose bib. Troy suggested we
make up a water manifold with 5 bibs to belong to association. Motion
by Deanna Salisbury (RCR) 2nd Karla Valentine (CCR): The association to
purchase one cheap hose splitter. Motion passed
E. Host team report. Food vendor will be on site,
plus expresso vendor. Showers – Troy to check with Bee. Pam suggested
getting agreement in writing. OWDTA had problem last year. Port-a-potty’s
needed? Motion by Deanna Salisbury (RCR), 2nd Kay George (WE): Order
3 potties. Motion passed. Cynthia Willard has agreed to assign
stalls and campingspaces. Darla or Maria to send Association logo
to program coordinator. Vendors will be welcome @ $25 for weekend. Any others
welcome.
Advertisements in programs okay. Business card ad charge???
T-shirt and hats, design, colors, etc.?? Host team to decide, maybe
logo on back with PNWDTA on front. Caps? Yes – black with gold lettering?
Yes. Colors? Yes.
Saturday night – ice cream social. No charge (Ass’n to pay) Have
found video photographer. Would be nice to project days events on wall during
social. Cowboy poet? Music? Latigo n lace girls may do dance clinic,
etc.

to pay for the ice cream. Motion passed.
Saturday morning breakfast hosted by Latigo n lace? $3 per person.
Fixed menu. Need numbers. Question needs to be on entry form. To be added
by Maria.
Photographer? Still checking.
Promotion & publicity: For both the competition and the association.
Need advertising here, promotion of organization. Need flyer?
Maybe Maria will do it? Barb to check with her. Get info on radio,
etc. Try to get the general public out to watch.

(WE). Motion passed.
V. NEW BUSINESS
A. Secretary had been approached by Lewis County Crossfire about
a booth at the Lewis County Fair to promote drill and horse associations.
Dates conflict with OWDTA annual competition. We will not pursue.
VI. Latigo n Lace going to Texas competition representing
the Pacific Northwest. Donation by Association to support them?
Motion by Karla Valentine (CCR), 2nd Pam Anderson (RCR): PNWDTA to donate
$500 to Latigo ‘n Lace travel fund. Motion passed. Latigo ‘n Lace abstained.
Treasurer directed to send a check to Latigo ‘n Lace as soon as possible.
VII. Joan Moore asked if a Latigo ‘n Lcace flag rider
could present the American flag at opening grand entry. Consensus is yes.
An association member to be asked to sing the national anthem. Troy to carry
the association flag.
VIII. Next meeting? April 26, 2003 @ 8AM – Yamhill
County Fairgrounds prior to the OWDTA meeting.

in one or more. No team participated in all six. Only placement in the Free
