MEETING MINUTES
MARCH 2002

The meeting was called to order by President Troy Valentine at the Trails, Olympia,  Wn., March 23, 2002.

Roll was taken with the following teams present: CC Riders, Class Action, Desperados, R.C. Riders, R Troop and Western Express.  Individual member; Linda Revak. ( membership paid as of today)

Minutes of the previous meeting were distributed, Deanna Salsibury made the motion, seconded by Karla Valentine, motion passed, minutes approved as printed.  Note:  The Executive Board meeting has been changed to April 27, 2002, at 1:00 p.m. at the Applelatchee arena, 1130 Circle St., Wenatchee Wn.  A tour of the facilities will follow at 2:00 p.m. for anyone interested.

Treasurer's report:  Present balance is $3022.54.  A question was asked if any entry fees had been received as of yet--not at present.  Deanna Salisbury requested a breakdown of the bank deposit,  Darla explained the transaction.  Darla issued a $300 deposit check made out to Appleatchee Riders, which will be sent to them.

It was reported that the judge's contracts have been sent out to corrected addresses and the judges have been personally contacted.

The due date for the entries was discussed,  a motion was made, seconded, passed, the due date for P.N.W.D.T.A. Championship show is June 1st, 2002.

The tri-fold information brochures with the entry blank was discussed, Pres. Troy Valentine stated the organization needs to set up a standard format for the tri-fold so that every year the host team or individual could fill in the current year's information.

Review of the entry fees: $100 for member teams, $40 per class for non-member teams,(not eligible for hi-point).  Discussion;  these fees are to cover the event's costs,  Karla Valentine made the motion. seconded by Kay George that the entry fees be $100 for member teams and $40 pe class for non-member teams, motion passed.  Cost of the stalls were $35 for the weekend or $20 per night, R.V. hook-ups were $35. $25 without for the weekend.  Karla Valentine made the motion, seconded by Diane Thomas that all fees remain the same as last year's, motion passed.

Diane Thomas presented a draft of the grievance committee and procedures (see attached)discussion;  team representative's list be made, these to be the authorized person to check to check the score sheets after each event.  Grievance can be filed up till time of the awards on Sunday.  Deanna Salisbury made the motion. seconded by Karla Valentine, motion passed to accept the grievance draft with the changes.

The question of anyone aware of a possible announcer for the show was asked, Diane Thomas will contact one of CC Riders associate members to see if she would be interested and available.  Discussion followed with the suggestion of a gift certificate be given or a fee be paid to this individual, the past two years the individual has donated his time.  Kay George made the motion, seconded and passed that the announcer will be paid $50 per day.

The group was asked if they were aware of anyone who would like to sing the national anthem,  Cheryl Slaydon said her daughter would, it was also mentioned that Beth Bender of Ellensburg could be contacted.

Awards:  A horse summer sheet blanket and picture of two other types of blankets were shown to the group with prices ranging from $22 to $24.  Samples of two halter were viewed. The individual cups given out at last year's show were discussed, plus the individual ribbons given in each class.  Deanna Salisbury made the motion, seconded by Mark Myers, passed to order black summer sheet for $22 for first place hi-point( if black is not available,navy) with white lettering P.N.W.D.T.A. Hi-Point 2002.  Darla Myers volunteered to order black halters for second place, white lettering P.N.W.D.T.A. 2002 will be put on them.  It was determined that ribbons will be ordered by just filling in what is need to complete numbers in the inventory for each class.  Western Express was granted permission to purchase the summer sheets and letter them for 2000 Hi Point.  It was decided to present Class Action with the remaining halters from last year.  Karla Valentine made the motion, seconded by Kay George to order the same type cup, color black with white letters, vote majority-yes one opposed.  Motion passed.

President Troy Valentine read an e-mail from Sunsation Drill Team regarding the price of  printing P.N.W.D.T.A. flag and a request to print one on pink material.  After a discussion Linda Revak made the motion , seconded by Deanna Salisbury that any team wishing to purchase an association flag, which is to be white with black logo, old gold accents, black lettering will do so through the association, motion passed.  At the present time Western Express is the contact team for ordering of these flags.  Cost of the flags was discussed resulting with Deanna Salisbury making the motion, seconded by Diane Thomas, passed, flags cost plus $10.

Programs:  Desperados did a FANTASTIC job last year.  It was suggested to contact Cindy Fowler to see if she can get some advertisements.  Pres. Troy mentioned this is also a item that a standard format should be set up so each year it is the same and easier for the host team or who is working on this to fill in blanks.

T-shirts:  2001 charge for t-shirts were $13, team colors were used and this was a hit.  It was reported that the company that did the shirts is the lowest price at this time.  Darla Myers volunteered to contact Maria Haaby who had ordered the T-shirts last year and see if she would do it this year.  Deanna Salisbury also orders through the same company if help is needed.  Linda Revak suggested that complimentary T-shirts and cups be given to the judges.  Karla Valentine suggested this to include the event co-ordinator.  It was decided the association will do this.

President Troy Valentine at this time asked the association to set a time the tri-fold be sent out and we set a standard format for this.  The date decided is to be April 15th and these be sent to teams in Montana and Idaho as well as the teams listed in Oregon and Washington.  It was noted that addresses are needed for Montana and Idaho drill teams.

It was discussed and determined that name tags and name signs for the officers and event coordinator  are need for the show,  this will help for those who need help if a location is posted.

President Troy Valentine requested the association set a meeting date to discuss judges, date of competition, entry due date, date for competition information to be sent out for next year's show.  It was decided to have a fall meeting, September 28, 2002 place to be announced later, possible places are being considered in the Woodburn, Oregon area.

A request was made by Pres. Troy Valentine for the members of the association to establish long term goals.  Ideas for these goals to be sent to Troy and they will be presented at a future meeting.
