Meeting Minutes - September 2002


The meeting was called to order by president Troy Valentine September 29, 2002 at 1:24, Best Western Motel, Woodbum, Oregon.

Roll was taken with the following teams represented; C.C. Riders, Class Action, Latigo N Lace, R.C. Riders. R Troop, Westen Express and Sundancers. (Dues paid today) Minutes were read, Diane Thomas made the motion, seconded, minutes approved with spelling corrections.

Treasurer's report was presented with the present balance being $5,782.96. Bills for the competition are paid, except the program printing and balance remaining on championship flag material. Also Diane Thomas requested a check be written for the announcer's fee. Checks were issued for these bills at this time.
Inquiry was lnade as to if there were any t-shirts available for purchase, it was reported there are two left.

Old business: Wrap-up of PNWDTA Championship Show 2002- a wonderful competition, great facility and arena , competition great fun.
Suggestions: To have divisions-this not to isolate the top teams, but to encourage intermediate and beginer teams to want to compete. Discussion resulted in a comlnittee consisting of Darla Myers, Andy Jacobyson , Karla Valentine, and Troy Valentille to put together a proposal that will be presented at a future meeting. Deanna Salisbury will provide copies ofOWDTA guidelines oftheir qualifications for the divisions they provide at their competitions.

Cindy FowIer sent the message that she felt all went well, suggests that the camping be handled by one or two people, that all the information be available and handed out by these people at the gate upon arrival. To work on all information being published concerning stalls, extra bedding, and stall cleaning, not at end of show.

Social or dinner to be planned well in advance, and the infomlation to be sent out early. A potluck or BBQ was suggested with each club providing a dish to feed a certain number of people. It was pointed out that with all the other fees involved with the competition this could be very expensive. Suggestion of an ice cream social as was done at Albany, 200 l, this was good drawing card and fun. A Sunday morning breakfast with donations toward the cost. This was tabled to be decided in the future.

Practice times need to be monitored better.

Team pictures and bios need to be sent to the team printing the programs as soon as possible. Joan Moore suggested to work on shortening Grand Entry. It was decided not have scheduled times for the teams, to have them all ready at the same time and call them into the arena as the preceding team enters. At the awards, have the first place overall team remain in the arena till all the teams have departed. Have more regional competitions, encouraging all teams and getting information out to Posse's 4-H groups, and high-school teams. Note was made that addresses are needed for this to be done effectively, anyone that can help in this area please send this information to any ofthe PNWDTA officers. Advertising the events at tack shops, feed stores, western shops and news medias, etc.

A promotional committee was suggested, this was tabled upon Joan Moore's request that she will discuss this with the Latigo N Lace members and see what they can possjbly do to help out. People are needed to work on this committee. A budget was suggested to be setup for the promotional project to promote PNWDTA so the organization continues to grow.
Darla Myers mentioned that Maria Habby has an information flyer setup and she will contact her about it's availability.

It was reported that there are three teams in the southern Oregon area at this time, it was mentioned that Kirby Tuntland and others have been in contact with them and offered them help and encouragement.

New Business: Bids for 2003 were presented; Yamhill information was presented by Deanna Salisbury lndoor arena l00 by 200, adjoining warm-up arena, and available large outdoor arena at extra cost. lnformation for the Track, Pasco, Wn. And information for Walla Walla Fairgrounds were passed out for viewing. Tacoma Unit #l information presented by Diane Thomas, Oregon Horse Center, Eugene, Oregon and Appleatchee information from last year (applicatjon presented to board listing requirements) Deanna Salisbury made the motion, seconded by Darla Myers each team vote for two locations results: Yamhill 6- Oregon Horse Center 3- Appleatchee 4- Walla Walla l- Tacoma 2. Yamhill, McMinnville, Oregon voted to be the 2003 competition arena.

Discussion on trying to schedule arenas two to three years in advance to obtain desired date and areas. Karla Valentine made the motion, seconded by Andy Jacobson to send an application to Appleatchee, Wenatchee, Wn. (2002 competition site) for 2004. Motion passed with one opposing vote. Kay George made the motion, seconded by Deanna Salisbury to hold the 2005 PNWDTA Competition in Albany, Oregon. Motion passed. It was suggested to really promote the 2004-5 competitions to the Idaho and Montana teams.

Latigo 'N Lace will be host team for the 2003 competition. R.C. Riders will help as much as they can as they have hosted the OWDTA Competition at this facility.

Next meeting to be November 16, 2002 at the Oaktree Woodland , Wn. At 11:00 a.m.

Nominations for President and secretary to be e-mailed or sent to Vice President Cheryl Slaydon.

Diane Thomas made the motion, seconded, passed that all meeting notices be e-mailed to team and individual representatives in addition to being posted on Flagriders. Meeting adjounded 3: 30 p.m.
